Business Continuity Planning: What It Is and Why You Need It

What Is Business Continuity Planning?

Business Continuity Planning (BCP) is the process of creating systems and procedures that allow your business to continue operating during and after a disruptive event — whether that's a cyberattack, natural disaster, power outage, or even a key staff member suddenly leaving.

It's closely related to Disaster Recovery (DR), but there's an important distinction: BCP is about keeping the business running; DR is about restoring IT systems after a failure.

Why Does It Matter?

The statistics are sobering:

  • 60% of small businesses that suffer a major data loss close within six months
  • The average cost of IT downtime for a UK SME is £4,500 per hour
  • 43% of businesses that experience a major disaster never reopen

Yet many SMEs have no formal continuity plan in place — often because it feels like something only large enterprises need to worry about.

Key Components of a BCP

A robust business continuity plan typically covers:

1. Business Impact Analysis (BIA)

Identify which processes are critical to your business and what the impact of disruption would be. How long could you operate without your email system? Your CRM? Your payment processing?

2. Recovery Time Objectives (RTO) and Recovery Point Objectives (RPO)

  • RTO — how quickly do you need to restore a system after failure?
  • RPO — how much data can you afford to lose? (e.g., if your RPO is 4 hours, you need backups at least every 4 hours)

3. Backup and Recovery Strategy

Implement the 3-2-1 backup rule: 3 copies of your data, on 2 different media types, with 1 stored off-site (or in the cloud).

4. Communication Plan

Who needs to be notified in the event of a disruption? How will you communicate with staff, clients, and suppliers?

5. Testing and Review

A plan that's never been tested is a plan that probably won't work. Run regular drills and review your BCP at least annually.
